How to Increase Your Productivity by Tidying Up Your Work Area

The objective is to get rid of the mess which limits your productivity from your workstation. This will give you a feeling of power and control over your environment and your work. It's a question of self-discipline. You'll achieve greater productivity by having one place for each item and setting up effective storage systems. Your work should not be on your desk until you are ready to do it.
Set aside plenty of time to do the task so that you are not rushed. You may need an hour or day depending on how much stuff there is to tidy up. Go through every cupboard, every file, every drawer and every desk. Take everything out and pile it on the floor. Every obsolete piece of paper should be thrown out all the others should be sorted into broad categories and put into piles.
You may end up with a pile labeled tax, one labeled memos, another labeled future ideas and so on. As you create each pile stick a piece of paper with the label written on it so it can be seen. You can also make piles of stationary, pens, envelopes and other miscellaneous articles that comprise your mess. Systematically worked through your whole office but don't try and sort out any of the piles until every item has been sorted.
Take a totally ruthless approach to rubbish. If in doubt, throw it out. Keep on asking yourself, "Is there another copy of this in the business? Could I do without it? How long since I last used it?" to verify the value of keeping it. Whilst you are sorting through everything beware of being distracted by reading items of interest. This will make your job many times longer. Just remember, you are sorting it, rather than making a final decision. If this is difficult, make a separate pile and label it "To Read Later." If this ends up being your biggest pile, you obviously are not being tough enough or ruthless enough.
Work quickly and get some momentum up. If you find the task difficult to get someone to help you because they will encourage you to sort out all your bits of paper. In addition, they will remind you if you get distracted and start reading what you are sorting. It can be quite a fun exercise to do with someone else and will speed up the process. Once every single drawer, shelf and cupboard is completely empty, you can start putting things back. If you don't wait until everything is empty there is a danger that you will end up putting useful information on top of junk. This means that eventually you will run out of space.
In your new tidy space, you will be so much more productive. You will be able to find things because you have recently put them away.
